Administrative Associate - OSU/A&M Board of Regents

 

The OSU/A&M Board of Regents is seeking an Administrative Associate at its office located in the Oklahoma Department of Agriculture, Food and Forestry Building, 2800 N. Lincoln Blvd., Oklahoma City, Oklahoma.

Position Description:

Provides administrative support for the members and staff of the OSU/A&M Board of Regents by receiving visitors; fielding telephone calls; processing mail; maintaining official records; filing basic correspondence; inputting data for reports; scheduling meetings; drafting correspondence; editing/proofing correspondence; proofing minutes and other documents for accuracy; maintaining office supply inventory; maintaining contact listings for Board staff, Board members, and Institutional Presidents; and other duties as assigned.

This position also includes transcribing detailed minutes from committee and special meetings of the Board of Regents, gathering information from institutions, preparing the annual Board meeting schedule, and filing meeting notices with the Secretary of State in order to assure the Board’s compliance with the Open Meeting, Open Records, and Administrative Procedures Acts.

Duties also include planning and coordinating events for the Board and Board staff; performing special projects which typically include ensuring compliance with Regents Education Program requirements; assisting with the presidential selection process; and preparing and filing Biennial Report with required State Agencies.

This position also provides support for the Director of Health Policy and the Director of State Government Relations. This support may include drafting correspondence, editing/proofing correspondence, handling confidential and sensitive information, maintaining daily calendar, scheduling meetings, maintaining files/records and confidential files, maintaining suspense files of pending projects, gathering information for review prior to meetings, handling mail, fielding telephone calls, and making travel arrangements.

Occasional travel is required. Applicants will be subject to a typing test and a transcription test.

Work schedule is Monday – Friday, 8:00a.m. – 5:00 p.m.

Minimum Acceptable Qualifications:
Education: High School/GED
Experience:
Five years of directly related office experience; education may be used in lieu of years of experience.

Skills/Proficiencies and Knowledge: Must have excellent verbal/written communication, organization, and interpersonal skills. Competency in use of computers and software, including Microsoft Office components: Word, Excel, and PowerPoint. Competency in the use of transcription equipment. Skill in organizing work to completion with proficiency and accuracy.

Preferred Qualifications:
Education: Bachelor’s degree
Experience:
Five years of directly related office experience.

Salary:
Commensurate with the experience and qualifications of the successful candidate (Contingent upon available funding).
