Description

Responsible for assisting Paycom clients with ensuring all aspects of Consolidated Omnibus Budget Reconciliation Act (COBRA) are compliant with federal guidelines. Accountable for handling COBRA questions from clients as well as Principal Qualified Beneficiaries. Responsibilities also include setting up new clients to actively use Paycom’s COBRA system.

Responsibilities

  • Assumes responsibility for ensuring all customers COBRA letters are processed daily, accurately and timely:
    • Imports COBRA General Notices and Election Notices each day.
    • Prints, folds, and stuffs COBRA letters.
    • Adds postage to each letter and mails Certificate of Mailing.
  • Assumes responsibility for tracking Principal Qualified Beneficiaries monthly COBRA payments:
    • Processes checks daily.
    • Tracks the time frames to accept payments accurately.
    • Enters COBRA invoices and customer payments into QuickBooks.
    • Creates bill for monthly customer reimbursement checks in QuickBooks.
    • Records deposit amount, prints summary, and deposit slip.
    • Ensure transactions balance on monthly premiums Profit and Loss statement.
    • Notifies clients of a Principal Qualified Beneficiary electing COBRA.
    • Notifies clients of a Principal Qualified Beneficiary terminating from COBRA.
  • Assumes responsibility for accurately setting up new COBRA customers in a timely manner:
    • Pays close attention to the COBRA eligible deductions the customer offers.
    • Work with Operations team members to get the deductions set up correctly and effectively.
    • Attentiveness to detail to set up Paycom Backend and Travis COBRA identical.
    • Performs over the phone COBRA demos with clients as part of the Initial COBRA set up.
  • Assumes responsibility for effectively researching, tracking and resolving customer’s or Principal Qualified Beneficiaries COBRA issues.
  • Assumes responsibility for answering incoming calls and/or e-mails from customers or Principal Qualified Beneficiaries on a timely basis.
    • Ensures customers have constant access to COBRA Specialists during Paycom’s office hours.
    • Answers phone on first or second ring.
    • Answers customer’s e-mail request within 10 minutes of receiving them.
    • Demonstrates sufficient knowledge of the Paycom COBRA system as well as a good understanding of the COBRA law.
    • Displays proper Telephone Etiquette by paying attention to the correct Posture, Inflection, Courtesy, Tone, Understandability, and Rate of Speech.
    • Handles difficult customers effectively and with courtesy.
  • Assumes responsibility for establishing and maintaining effective communication and coordination with Paycom personnel and management.
    • Assists others in the benefits department.
    • Keeps management informed any significant customer problems.
    • Attends and participates in meetings as required.
    • Maintains a positive attitude with all Paycom personnel and management.
    • Adheres to all policies of Paycom including those outlined in the Paycom Employee Handbook.
  • Responsible for month end processing.
    • Run month end invoices and enrollee reports from Travis.
    • Input the numbers into Excel spreadsheet and QuickBooks.
    • Send out end of month monthly packets to customers.
  • Assumes responsibility for performing the vetting for new Background Check customers.
    • Researches the customer’s company to provide validity, by confirming phone number, location, and registration with the Secretary of State.
    • Provides confirmation that the customer is not on the Excluded Parties List.
    • Provides confirmation through the Office of Foreign Assets Control that the customer is not engaged in activities related to terrorists, international narcotics, or weapons of mass destruction.
  • Regular attendance as required
  • Performs other duties as assigned

Qualifications

Education/Certification:

High School graduate required.

Experience Required:

0 – 1 years of experience with administering COBRA or other benefits is preferred, but not required.

Skills/Abilities:

  • Good typing skills.
  • Good telephone skills.
  • Well organized.
  • Attention to detail
  • Cooperative and willing to work with others.
  • Customer friendly attitude.
  • Ability to use computer applications, copier, fax machine and telephone.
