Job Details

Coordinates, plans and assists with B&I departmental budgets and Academic Advisory Committees. Provides support to the Vice President and Assistant Vice President of Business and Industry Training & Economic Development as needed, as well as the Executive Assistant to the President.



Essential Job Functions:


  1.  Serves as liaison between Vice President Business & Industry, Asst. VP B&I and reporting units.
  2. Responsible for the management of Office of Business and Industry Training & Economic Development departmental budgets.
  3. Prepares correspondence and reports.
  4. Maintains and manages customer information data base files.
  5. Assist Vice President for Business and Industry with preparation, distribution and maintenance of Strategic Plan.
  6. Compiles information for a variety of reports.
  7. Follows up on division phone calls, memos, and correspondence and also ensures deadlines are met.
  8. Must be able to perform tasks with sensitivity, confidentiality and professionalism.
  9. Assists in the coordination of conferences, workshops, meetings, and programs.
  10. Coordinates Academic Advisory Board meetings in consultation and coordination with the VPAA and makes sure all information and arrangements are in order. Prepares agendas and summary minutes for various committees, task forces, etc.
  11. Maintains budget files for Vice President & Asst. Vice President Business & Industry; prepares purchase requisitions and purchase orders; orders and maintains supplies as needed.
  12. Maintain monthly financial reports for all B&I departments.
  13. Prepares travel arrangements.
  14. Receives visitors, handles telephone calls, and provides assistance or technical information concerning policies, procedures, and other details; opens and delivers mail.
  15. Maintains absence and leave records for Business and Industry team.
  16. Manages work study students for B&I; coordinates work load with VPAA & Pres. Office and assists Presidents Exec. Assistant when needed.
  17. Completes all mandatory training and participates in a minimum of two professional development each year.
  18. Performs other duties as assigned.

Requirements

Minimum Qualifications:

 

Work Experience:

 

Three to four years of secretarial/administrative support experience.

Extensive computer experience using word processing, databases and spreadsheets.


 

Education:

 

Associate’s degree or equivalent college credit

 

 

 

Preferred Qualifications:

 

Experience as Admin or Executive Assistant


Knowledge, Skills, and Abilities:

 

 

 

  • Must be able to prepare professional correspondence including documents, reports, bulletins and communications using proper grammar and spelling

  • High degree of accuracy and attention to detail

  • Must be an independent thinker, capable of coordinating projects without daily supervision

 

  • Professional and diplomatic demeanor and appearance

  • Excellent communication, organizational and interpersonal skills

  • Ability to prepare financial information with accuracy and detail, and ability to understand the budget process and financial documents

  • Ability to work as a team, and coordinate special projects as assigned, such as PTTO

  • Evidences a history of demonstrating ethical and professional behavior.
