Specific Duties and Responsibilities


  • Coordinate with other physician offices in the scheduling or care of mutual patients.
  • Notify physician of any scheduling or cancellation of meetings.
  • Obtain authorizations/verify eligibility for all imaging. 
  • Obtain authorizations for prescribed medications.
  • Timely response to prescription requests/refill request.  24 hours for routine prescription, same day for urgent requests.
  • Timely response to patient phone calls, telephone encounters.  24 hours for routine calls.  Same day urgent calls.
  • Order tests as requested by physician through eCw.  Record results and forward results to physician on receipt. 
  • Follow appropriate guidelines and handling for 4K test.
  • Follow appropriate guidelines, recording results, timely notification to patient of results of all tests, imaging, etc. 
  • Notify designated staff member of equipment malfunction or need for repair.
  • Notify designated staff member of supply/medication needs.
  • Stock examination rooms.
  • Prepare eClinical Works patient visit encounter by completing required fields.
  • Room patients.
  • Vital signs must be obtained and recorded at each visit.
  • Provide patient education in eClinical Works.
  • Introduce all patients with email address to patient portal and educate regarding its use.
  • Set up rooms, prepare equipment for office procedures.
  • Assist doctor as needed during office procedures
  • Clean  rooms after each patient and at the end of clinic each day.
  • Maintain cleanliness and best hygiene/sterilization practices in lab in compliance with CLIA guidelines.
  • Fax all dictation to referring physicians.
  • Complete FMLA, STD, and Attending Physician Statements.
  • Schedule patient appointments.
  • Answer messages


Education: High school diploma or general equivalency diploma (GED), LPN certification, medical assistant diploma from an accredited vocational institution, or a community college course in medical assisting. Appropriate certificate indicating passing grade for specific specialty if working in specialty department.

Experience: Minimum one year of recent experience working in a medical facility as a medical assistant and/or documented evidence of externship completed in a medical office.


  • Knowledge of health care field and medical office protocols/procedures.
  • Knowledge of specific assisting tasks related to particular medical practice.
  • Knowledge of information that must be conveyed to patients and families.


  • Skill in performing medical assistant tasks appropriately.
  • Skill in tact and diplomacy and appropriateness in interpersonal interactions with physicians, management, co-workers, patients and outside medical personnel.
  • Skill in understanding patient education needs by effectively sharing information with patients and families.



  • Ability to learn and retain information regarding patient care procedures.
  • Ability to project a pleasant and professional image.
  • Ability to plan, prioritize, and complete delegated tasks in a timely manner.
  • Ability to demonstrate compassion and caring in dealing with others.
