Job Function:

Ensures incoming transcripts/audits are processed accurately and in a timely manner. Tracks transfer credits accepted from other institutions of higher learning, assists in tracking the graduation application and audit process, and serves as the liaison between Admissions and the Registrar’s Office.   

 

Pay Rate: 

$9.28 hourly

Essential Job Functions: 

  1. 1.      Works with academic divisions on substitutions, evaluations of transfer credit and advanced standing application.  Assists the Registrar in ensuring the integrity of the institution’s degrees. 

     

    2.      Assists with tracking graduation applications, transfer credits awarded, and admissions data entry related to Registrar’s Office functions.

     

    3.      Receives, controls, and maintains confidential student records including interpreting and applying established regulations governing access of student records. Interprets registration and program policies and procedures to faculty, staff and students.

     

    4.      Responds to student requests, researching, and resolving problems, complaints, and inquiries.

     

    5.      Coordinates Honor Roll reporting.

     

    6.      Processes student data updates, status change forms, transcript requests, grade changes, enrollment verifications, and various other Registrar forms.

     

    7.      Assists with the data entry and maintenance of student records including transfer work, graduation updates, and general student record information.

     

    8.      Maintains adequate supply of transcript paper and other print and mail items.

     

    9.      Serves on various institutional committees as needed.

     

    10.  Performs other duties as assigned.

Requirements

Education:

  • High school diploma/GED.

Work Experience:

  • Minimum of two years’ experience in a record-keeping/customer service environment.

Preferred Qualifications:

  • Work experience in higher education, preferably in Admissions and Records.
  • Experience with student information in Banner.

Knowledge, Skills, and Abilities:

  • High degree of integrity; ability to work in a sensitive, highly confidential and professional environment  
  • Ability to work and communicate effectively with diverse student, employee and public populations
  • Ability to handle multiple tasks and multiple priorities
  • Strong attention to detail and high degree of accuracy
  • Proficient computer skills  
  • Working knowledge of college-level student records procedures, documentation, standards and regulations (including FERPA)

Working Conditions:

 

  • Work will be performed in an office environment with a significant amount of public contact, in person, by telephone and via email.
  • Evening and weekend hours may be required at times.
  • Extensive Computer use
