Relocation Coordinator (Administrative Assistant)

BASIC PURPOSE: The primary purpose of this position is to support field personnel with relocation of field employees, travel arrangements, processing of hotel invoices and employee expenses.   This position will support field services, initiatives and events.



  • Phone and e-mail support from vendors and field employees
  • Process hotel invoices and follow up of outstanding accounts
  • Reconcile hotel statements
  • Follow up on unpresented checks
  • Assist with relocation of employees
  • Process employee expenses
  • Organize flight, hotel, and car rental reservations using online booking tools
  • Updating spreadsheets
  • Maintain and update intranet documents.
  • Assist the Training Administration Supervisor
  • Administrative duties (printing, filing, CD and DVD duplication, mailing, document shredding, etc.)
  • Shipping and receiving duties
  • Other duties assigned as needed



  • Education:
    • HS Diploma or equivalent required
  • Experience:
    • 12 months account payable or administration experience required
    • Experience in processing invoices and employee expenses
    • Experience in making travel arrangements



  • Skills:
    • Intermediate to advanced proficiency across MS Office suite to include Outlook, Word, Excel & PowerPoint
    • Data entry
    • Ability to respond to requests or inquiries in a timely manner
    • Ability to manage numerous demands in a fast-paced environment
    • Attention to detail and ability to manage time effectively
    • Excellent verbal and written communication
    • Ability to work independently
  • Typical Physical Demands:
    • Ability to work a flexible schedule
    • Must possess a valid US driver’s license.
    • Requires prolonged sitting, some bending and stooping.
    • Occasional lifting, pushing and pulling up to 50 pounds.
      • Manual dexterity sufficient to operate a computer keyboard and calculator.
      • Requires normal range of hearing and vision.
