Job Function:


The Associate Registrar provides oversight of the Registrar, Career Services and Veterans Services departments and serves as a key member of the enrollment management leadership team. This position is responsible for ensuring the integrity, accuracy and security of all academic records of current and former students. The Associate Registrar supervises the processes for the articulation of transfer credits, conferring of certificates and degrees, and certifying of veterans benefits. This is a functional supervisory position that is charged with the maintenance of the student information and degree audit systems.

Essential Job Functions: 



  1. Provides leadership in the development and advancement of OSU-OKC’s strategic enrollment and completion goals.
  2. Collaborates with the Enrollment Management Leadership Team to develop, implement and manage a current student engagement plan to promote persistence and completion.
  3. Actively participate on the Enrollment Management Leadership Team, campus committees, and professional organizations.
  4. Works effectively and collaboratively with all segments of the university community to manage registrar, career and veterans services-related operations and initiatives.
  5. Develops innovative proposals to improve practices and provide quality service to students and the campus community.
  6. Articulates knowledge of academic policies and procedures to internal and external colleagues and university partners.
  7. Assist with campus-wide recruitment, retention and diversity efforts



  1. Effectively leads and supervises the Registrar’s Office, Veterans Services, and Career Services staff.
  2. Administers the departmental budgets.
  3. Identifies areas for improvement and implements solutions through continuous process improvement strategies.
  4. Provides oversight of departmental publications, marketing materials, webpages, and social media platforms.
  5. Responsible for the administration of departmental technologies, software, and student information system (Banner) modules.
  6. Maintains understanding of and compliance with all applicable state and federal laws, policies and procedures related to educational records, academic standards, and veterans benefits



  1. Maintain student information system database, including but not limited to, academic calendar, academic history, class schedule, and catalog.
  2. Collaborates with information technology and institutional data areas to ensure accuracy and timeliness of external reporting related to the Registrar’s Office.
  3. Serve as a School Certifying Official (SCO) for Veterans Affairs.
  4. Serves as the FERPA Officer for the University, assures that all FERPA regulations are met and provides training to college community on FERPA guidelines
  5. Completes all mandatory training and participates in a minimum of two professional developmental each year.
  6. Assumes the duties of direct reports as needed and all other duties as assigned.  


  1. Maintains and analyzes student and related educational data for internal institutional planning. Prepares reports to inform the development of campus and departmental strategies.
  2. Provides information required for various external compliance reporting. Coordinates the submission of specialized annual reports in a timely and accurate manner.
  3. Develops, implements and manages assessment practices and prepares customized reports.

  • Bachelor’s degree


Work Experience: 


  • Minimum of five years progressively responsible work experience.
  • Knowledge and/or experience in an area related to higher education enrollment management.
  • Experience working in a fast-paced and customer service rich environment.
  • Experience working in both collaborative/team environments and in positions that require individualized work with minimal supervision.



Preferred Qualifications: 

  • Experience in a higher education Registrar’s Office.
  • Demonstrated leadership and management/supervisory experience.
  • Knowledge of FERPA laws and regulations and other federal policies affecting student records and reporting;
  • Solid technical background with student information systems, preferably Ellucian Banner.
  • Demonstrated experience working with external reporting systems, such as National Student Clearinghouse.



Knowledge, Skills, and Abilities:


  • Ability to communicate diplomatically, clearly and effectively, both verbally and in writing to exchange information, give/receive instructions and respond to inquiries appropriately.
  • Exceptional problem solving and critical thinking skills required.
  • Accurate typing/data entry skills and demonstrated ability to work with attention to detail.
  • Ability to think objectively and interpret meaningful themes from quantitative and qualitative data
  • Demonstrated coordination, planning, and organizational skills
  • Must be adaptable to performing under moderate levels of stress, imposed by frequent deadlines, peak workloads and public/student contact.
  • Ability to work independently and collaborate within a team environment while effectively managing multiple priorities and deadlines.
  • Ability to thrive in a high-paced and dynamic environment.
  • Very strong experience working with office technologies including but not limited to: office computers, scanners, internet, Microsoft Office (Word, Excel, Outlook).
  • Strong interpersonal skills and sensitivity to a multicultural environment in an effort to work and communicate effectively with all students, faculty, staff and community partners.
  • Ability to perform basic math functions.
  • Passion for assisting students with educational endeavors and representing the OSU brand with positivity and professionalism
  • Ability to work effectively in a diverse community and meet the needs of diverse student populations.
  • Evidences a history of demonstrating ethical and professional behavior

Working Conditions: 

  • Must be able to work flexible schedule to include some morning, evening and weekend hours.
